You decide how you appear to other participants

As an invitee, you now decide yourself how you appear to other participants in a plan: with your name, your role, your email address – or a selection of them. At least one item stays visible.

ℹ Once for all appointments, or just for one. Below your list of appointments you set a default, including your role. On an appointment's page you can choose something else for that appointment only – for example “only my role for this audit”.

ℹ Your email address only appears if you show it yourself. If you have not chosen anything and no name is recorded, we show only the part before the @.

⚠ The person responsible for the appointment still sees all your details – they invited you. The setting determines how you appear to other participants, not who can reach you.

  2. Regularphase-3b.190.271

Your plan overview now also names the visibility labels

The box above your planning now shows a third line: how many visibility labels your plan allows and how many you keep. Until now you only found that limit inside the label management itself.

ℹ If your level contains no labels, it says so – rather than showing a zero that would read like an exhausted allowance.

ℹ After moving to a smaller level the figure may exceed the limit. That is not an error: the surplus labels are kept and lie dormant, and the line tells you why one no longer takes effect.

ℹ We also fixed a participant list that stayed silent. If an appointment held a person from an older version, the list showed an error notice instead of the names. That list now also hands out only the four details the page shows.

ℹ The internal management console was extended at the same place.

  3. Regularphase-3b.190.270

You now see what your appointment is still waiting for

Your appointment page now shows who else has not accepted yet – with the session, its time and the day the request went out. Until now you only saw that the planning was not finished, not what it was waiting for.

ℹ If everyone else has accepted, that is shown too. An empty spot would leave you guessing whether everything is fine or something failed to load. ℹ Your own reply is not in this list – you find it at your session.

ℹ You only see names when signed in. Without signing in, the line names the waiting session, not the person – the same rule as for the other participants.

ℹ And the appointment owner decides whether the section exists at all. They set how much their invitation link shows; if it shows nothing about the others, nothing appears here either.

  4. Regularphase-3b.190.269

Signed in, you see who else is in your session

Until now the appointment page showed only a figure – how many from the audit team and how many other invitees are in your session. Anyone with an account who is signed in now reads the names as well.

ℹ Why an account is needed. A link shows that someone had access to a mailbox – not who they are. A forwarded email or a colleague at the same screen would otherwise be enough to read other people’s names. You therefore see the names when you are signed in with the account that carries your invited, confirmed address – another account is not enough.

ℹ What the appointment owner released still applies. They decide how much their invitation link shows at all; signing in does not widen that, it puts the names beside the figures already there.

ℹ Without signing in, nothing changes. The link stays usable without an account – you see your sessions, reply and submit requests as before.

  5. Regularphase-3b.190.268

Your appointment list now tells you how far the planning has come

Your appointments now show how far their planning has come – “being planned”, “fully planned”, “under revision” or “confirmed”. Next to it you see the interim figure: how many of those invited have already accepted.

ℹ The list now answers the question you open it for. Until now it told you when to be where – but not whether the appointment is actually settled or whether someone is still missing.

ℹ No names are given. The status tells you how the appointment stands, not who has yet to reply.

ℹ With very many appointments we leave the status out and say so. Your appointment list itself stays complete either way.

  6. Regularphase-3b.190.267

The change notice tells you when your calendar needs updating

When something about an appointment changes, we write to you anyway. If you have added the appointment to your calendar, that message now carries one more paragraph: that the entry there is no longer correct and that you should download the calendar file again.

ℹ There is no second email for this. We do not write to you twice about the same change – the note is part of the message you receive anyway.

ℹ And anyone who never added the appointment to their calendar does not read that paragraph. A notice that appears without cause is skipped over by the third time.

  7. Regularphase-3b.190.266

You can see who has added the plan to their calendar

Your overview of access links now has one more line: when an invited person downloaded the appointment as a calendar file.

It sits where “last opened” already is – it is the step after that. Anyone who has never downloaded it gets no line: an entry with a dash looks like a defect.

ℹ What is not shown there. Whether that person’s file is still up to date is not something we tell you here – the invited person sees that on their own appointment page. And we reveal nothing about their device, their calendar or where they are. It is a point in time, nothing more.

ℹ The line stays even if you withdraw the access link: a withdrawn link does not remove anything from anyone’s calendar.

  8. Regularphase-3b.190.265

We tell you when your calendar is out of date

If you have added the appointment to your calendar and something moves afterwards, the appointment page now says so. A note appears above the button: download the file once more, and your calendar replaces the old entry.

ℹ We compare exactly what is in your file – your sessions with their time, room and note. If something changes about the appointment that does not affect your calendar entry at all, we stay silent: a notice that appears without cause is overlooked by the third time.

ℹ If you never took the file, you will not see the notice.

  9. Regularphase-3b.190.264

    Your appointment in your calendar

The appointment page you open from our invitation now has a button that gives you the appointment as a calendar file. Every common calendar program can read it – on your computer as well as on your phone.

The file holds your time: every session you are scheduled for as its own entry – and if you are only there for part of one, only that part goes in. A three-day audit therefore does not block three whole days in your calendar.

ℹ Downloading it again updates the appointment; it does not add a second one. If something has moved, simply download the file once more and your calendar replaces the old entry. If the appointment was cancelled, the file carries the cancellation – so it disappears from your calendar too.

  10. Improvementphase-3b.190.263

    Improvements to our internal administration

We continued working on our internal administration console. Nothing changes for your account, your appointments or your data.

ℹ We list internal work here without details – so the history stays complete and you can see which days we worked on.

  11. Regularphase-3b.190.261

Your invoice as a PDF in your inbox

The invoice is now attached to the invoice email as a PDF. You no longer have to download it from your account to file or forward it – it is where the email is.

**It is the same document you find in your account under Invoices.** Same number, same file name, same content.

ℹ For the invoice only. All our other messages remain plain text.

  12. Regularphase-3b.190.260

    Your invoice as a PDF

Every issued invoice now has a document you can download. You will find it in your account under Invoices, next to the invoice number; the downloaded file carries that same number as its name.

It contains everything your accounting needs: invoice number and date, the period, the amount, the tax shown separately, the payment term, our company details and the payment information.

ℹ It shows the details that applied when it was issued. If your address or ours changes later, a document already issued stays exactly as you received it.

ℹ If you owe the tax yourself as the recipient (reverse charge), the document carries that note instead of a tax line. In every other case the tax is shown separately – including on an invoice with German VAT.

  13. Improvementphase-3b.190.259

A second click before anything that cannot be undone

Before you switch off your second factor or generate new recovery codes, we ask once more – with a summary of what happens, not merely an Are you sure?.

ℹ When switching off, it states what will apply afterwards: your account will then be protected by the password alone, and all other sessions end.

ℹ When renewing, it states that your previous codes become invalid. Anyone who has written them down knows beforehand, instead of finding out at the next sign-in.

Switching on still asks nothing. A prompt before an action that increases your protection only trains the reflex of clicking it away.

  14. Correctionphase-3b.190.258

    Invoices without Swiss VAT

Customers outside Switzerland, Liechtenstein and Germany now receive their invoice correctly, without tax shown. The reverse charge applies: the recipient of the service owes the tax and accounts for it in their own country.

🚨 **Previously these invoices said VAT 0 %.** That was wrong – a shown zero states that tax was charged and amounts to zero. The invoice and the email now carry the explicit note about the procedure instead.

ℹ Nothing changes for customers in Switzerland, Liechtenstein and Germany. There the tax is shown separately as before.

The amount does not change in any case.

  15. Regularphase-3b.190.257

Your invoice now arrives by email

As soon as we issue an invoice, you receive it by email. Until now it was only in your account; now it comes to you.

The email contains everything you need in order to pay: invoice number, period, amount, the tax shown separately, the payment term and our payment details.

ℹ Please quote the invoice number with your transfer. Your payment can then be matched without a query.

ℹ The email goes to your account address – the current one, even for an older invoice. The billing address on the document itself remains the one that applied when it was issued.

You will still find every invoice in your account under Invoices.

  16. Regularphase-3b.190.256

Your invoices are in your account

Account settings now list every invoice we have issued to you. Number, period, amount, due date and – if something is still outstanding – the open amount are shown together.

ℹ What is shown is what the document says. Net, tax rate and tax amount appear exactly as they were recorded when the invoice was issued; we do not recalculate them. An invoice issued today therefore reads unchanged even after the tax rate changes.

Only issued invoices appear. Anything still to be billed internally is not listed – an amount we announce before we invoice it would be a figure without a document.

ℹ Only the account holder sees the list. Additional users who plan appointments for you do not.

  17. Regularphase-3b.190.256

    Your invoice gets a number

From now on, every invoice we issue carries a sequential number. You and we can find the document again by that number – in your accounts, in a query, in a reminder.

🚨 And the document records what applied at the time it was issued. Your address, our company details, the tax rate: if any of them change later, the invoice you already received stays exactly as it was. A document that changes afterwards is not a document.

ℹ The tax amount is now shown as well – net, rate and tax appear separately. The price is unaffected: amounts are inclusive, as before.

  18. Improvementphase-3b.190.255

    Work on our internal administration

We have continued working on the console we use to look after your account. Nothing changes for you – no step to take, no new view, no changed setting on your account.

ℹ We still list this kind of work here. It is part of the state of the software, even when it sits behind the scenes.

  19. Improvementphase-3b.190.254

Appointments with several sessions can change zone too

You can now change the time zone of an appointment that has several sessions. Until now this only worked for an appointment with a single session; with several you had to create the appointment again – and collect every invitation and acceptance a second time.

All sessions and their time blocks move along. Each keeps its local time and its day: 9:00 to 17:00 becomes 9:00 to 17:00 at the new location, calculated separately for every session – across a daylight saving change as well.

⚠ The confirmation says so beforehand. You see how far the appointment moves and that all sessions come along, before you confirm.

ℹ And it is still all or nothing. If one of the new times falls into one of your blocked periods, or someone else has just moved a session, everything stays as it was.

  20. Regularphase-3b.190.253

Every appointment has its own time zone

You now set the time zone on the appointment, not on the calendar. Until now, your organisation's zone applied to every appointment. But an audit in Zurich during the day and one overseas afterwards are two appointments with two zones – and the times must be right in both places.

When creating, the selection sits above the times, pre-filled with your calendar's zone. The marked days remain those of the calendar; the times on them apply at the chosen location. If the zone differs from your calendar's, that is stated.

⚠ For an existing appointment, changing the zone moves the appointment. 08:00 in Zurich becomes 08:00 at the new location – the time stays, the moment shifts. The confirmation prompt works out by how much before you confirm. Anyone who has already accepted accepted a different time.

ℹ An all-day appointment moves to midnight of the new zone – it is a day, not a clock time.

ℹ Appointments with several sessions cannot be changed yet. The change would have to carry every session along with its parts; that follows later.

  21. Regularphase-3b.190.252

Your appointments as a monthly, quarterly and yearly overview

Your own appointments can now be read as an overview – by month, quarter or year. Until now they appeared as a list in order of their start; anyone wanting to know how full the autumn would be had to count.

The overview is available in both areas – for your own appointments across all clients, and in the participant area. In each case it shows only what concerns you.

In the yearly view you see all twelve months, including the empty ones. That is the point: you can see where things pile up and where there is room. The monthly view, by contrast, lists only the days on which something actually falls.

ℹ The list remains the starting view, and for a reason: it is where you answer open invitations. A switch above it leads into the overview and back again.

⚠ An appointment spanning several days appears on every day it touches – it is still counted once.

And you choose the time zone in which you read your calendar. The setting is in your account. It decides which day an appointment falls on for you – until now that followed the device, so a travelling computer shifted appointments by a day.

🚨 The local time on site does not disappear. Where an appointment's time zone differs from yours, it is shown underneath, by name: whoever plans reads their own figure, whoever travels finds the one on site. An all-day appointment is not converted – it is a day, not a clock time.

ℹ An appointment's time zone stays with the appointment. An audit in Zurich during the day and one in the USA afterwards are two appointments with two zones, and both stay correct.

  22. Regularphase-3b.190.251

Invite auditors by address, without them needing an account first

You now bring an auditor into the team by their e-mail address. Until now you had to pick them from your list of team users – which assumed they already had an account. For an external auditor that is the exception, not the rule.

If the address has no account yet, an invitation link goes out. It is valid for ten hours. The account is created only on acceptance – on the free tariff, and in it the invitee sees nothing but the appointments you invited them to.

Whoever declines or lets the link expire leaves nothing behind. No account is created, and no entry remains that could later open access. You can invite the same address again at any time.

ℹ Your team list shows who has not answered yet – with the moment the link stops working and a button to send it again. So that nobody is buried in invitations, a further one goes to the same address at most every 24 hours; the link sent first stays valid until then.

⚠ An open invitation is not half a team member. It appears in the list and is marked as open – it opens nothing until it is accepted.

  23. Regularphase-3b.190.250

How many visibility labels your tariff allows

The number of visibility labels now depends on your tariff. Free carries no labels, Business allows two, Expert five, Enterprise as many as you need. The number appears in your account administration above the list, together with the number of labels already in use.

A downgrade deletes nothing. If you hold five labels and move from Expert to Business, the two oldest stay awake; the rest go dormant. Dormant labels remain visible in the list with a note beside them – they are not gone, they simply no longer take effect.

🚨 An appointment carrying a dormant label does not suddenly become visible to everyone. It disappears from the other clients' calendars; in your own calendar it stays where it was. A label that no longer takes effect opens nothing that was closed before – that is the only safe direction when a tariff changes.

An upgrade wakes the dormant labels again, with the same people entered as before. You do not have to rebuild anything.

  24. Regularphase-3b.190.249

You decide per appointment who sees it

You can give your appointments a label and decide, per label, which other clients see appointments carrying it. You manage the labels in the account administration, directly below the calendar access setting; the label itself is assigned on the appointment.

A label with nobody entered is your private calendar – in the same account, without a second tool. Appointments with that label are seen by nobody but you and your team.

🚨 An appointment without a label is seen by no other client. In your own calendar it stays visible; labels govern only what the others see. That also holds for the clients you have granted access to: nobody gains a view because you forgot something.

ℹ This changes something about existing grants. If you have granted someone access, they now see nothing until you give your appointments labels and enter them there. This is intended, and it is the safe direction.

The access grant remains the upper limit. A label can only show something to people you have already granted access to – two controls, and the outer one applies.

  25. Improvementphase-3b.190.248

The calendar has become easier to read

The month view now shows the calendar week. Audit appointments are arranged in calendar weeks – the number is therefore shown to the left of each row and no longer has to be looked up elsewhere.

Today is now marked on the date, not on the box. Until now the current day and the selected day carried the same outline: anyone who selected the current day saw one marker and could not tell which of the two it was. The day number now carries the filled circle and the box carries the selection.

In the quarter and year overview, a dot below the day number shows that something is scheduled. Previously the whole day was filled with colour – and the current day could no longer be made out underneath. ℹ And a screen reader now states the number of appointments. Until now this was carried by the colour alone; anyone having the page read aloud heard the same thing on a busy day and on an empty one.

The appointment list and the day view show the date as a label beside the appointments – weekday, day number and month below one another. The whole label is clickable, not just the line of text above it.

ℹ Nothing changes about the scope. These are the same appointments, the same views and the same details – they are simply quicker to take in.

  26. Regularphase-3b.190.247

You decide who sees your appointments

You can give other clients on this platform access to your appointment calendar – for example if you work together regularly. You decide whether to share your calendar and with whom. The setting is in the account administration.

Shown are the title, time, place and state of an appointment. Not shown are your customer contacts, your internal notes, the addresses of your locations and the participants.

Access can be ended at any time – by either side: you can withdraw it, and whoever received it can decline it. Both are recorded.

  27. Correctionphase-3b.190.246

    The calendar progress display sharpened

**The intermediate state “3 of 5 confirmed” now appears exactly where it belongs** — in the day view, and no longer briefly when switching to another view.

On a cancelled appointment it no longer appears at all. Nobody is waiting for an acceptance there.

  28. Regularphase-3b.189.245

The calendar now shows how many have already accepted

An appointment that is not yet fully confirmed now shows its progress in the day view — for example “3 of 5 confirmed”.

Until now you could only see that something was still missing, not how much. An appointment waiting on a single acceptance looked just like one where nobody had answered yet.

ℹ The figure is also read out, not just shown as a number beside the title.

  29. Improvementphase-3b.188.244

The foundation now rests on fixed versions

We have fixed the versions our service is built on. Until now, a rebuild on a later day could have landed on a different foundation — without anything in our own software having changed.

ℹ Nothing changes for you — except that a rebuild now demonstrably produces the same result as the last one.

Security updates to the foundation still arrive. What is fixed is the version, not the standstill.

  30. Improvementphase-3b.187.243

Access limits now count reliably per connection

Access limits now count reliably per connection instead of relying on a setting that had to match the number of intermediate stations.

ℹ Nothing changes for you — except that a whole class of error disappears: until now, a change to our front layer could have shifted the counting silently.

And our operational status now says in plain words whether the assignment is correct, instead of two numbers someone has to read together.

  31. Improvementphase-3b.186.242

Screens now tell you what went wrong

When an entry is rejected, the reason now comes with it. Until now some screens could only say “that didn't work just now” — even when the service had said exactly which field was wrong.

The most common explainable error was the one thing that explained nothing. That is fixed, across every screen at once.

ℹ Multiple objections now appear separated instead of being run together into a single sentence.

  32. Improvementphase-3b.184.241

    Work on operational monitoring

Behind the scenes we improved how we monitor the service. Faults now report once, clearly, instead of every few minutes — and they report again when they are over.

ℹ Nothing changes for you — except that we notice problems sooner.

  33. Correctionphase-3b.180.240

Access limits count per connection again

Fixed before it affected anyone. In combination with the protection layer in front of the service, the application could end up counting every request under one address — and then one person reaching the limit would have taken everyone else with them.

The service now detects this state itself and stops counting jointly while it lasts. The protection of your account against unfamiliar sign-in attempts is unaffected: it counts per account, not per connection.

  34. Improvementphase-3b.179.239

Rejected requests now leave a trace

When something does not go through, we now know why. Until now a screen could report “that didn't work just now” while the reason was nowhere to be found — not even for us.

That is fixed. Every rejected request is recorded with its reason. Without your input, without your data — only the path, the status code and the reason.

ℹ Faults are resolved faster this way, and you need to describe what you did less often.
